Who we are and how to contact us

Klubfiller LTD (company number 08270746) is responsible for the personal information we use to operate this store, sell music and merchandise, manage studio bookings and communicate with you. Our business contact address is 254 Birkenhead Road, Merseyside, CH47 9SJ, United Kingdom.

For privacy questions, complaints or requests, use our online contact form, email studio@klubfiller.com or write to the address above.

Information we collect

We receive information you provide when ordering, joining a mailing list, arranging a studio session or contacting us. This can include your name, contact details, delivery and billing addresses, order and payment status, selected products, booking details, marketing preferences and correspondence. Payment providers process your payment credentials; please do not send card details through our contact form.

Shopify and connected services also receive technical and usage information, such as IP address, browser and device details, approximate location, pages and products viewed, referring links, cart and checkout events, cookie identifiers and consent choices. Information may come from your device, our store platform, payment and fulfilment providers, or marketing services when you interact with them.

Why we use information

  • Orders, downloads and bookings: to take payment, supply purchases, arrange delivery or sessions and resolve order enquiries. We rely on performing our contract with you or taking steps you request before a contract.
  • General enquiries and store protection: to answer messages, secure the store, prevent fraud and manage disputes. We rely on our legitimate interests in running and protecting the business, taking account of your rights.
  • Legal and accounting records: to meet our legal obligations, including tax and accounting requirements.
  • Marketing: to send updates you request and, where legally permitted, relevant offers. We rely on consent where required. Any permitted existing-customer email marketing is based on our legitimate interest in promoting related products, with the required opportunity to opt out. You can unsubscribe using the link in a marketing email or contact us. Essential order and service messages are separate from marketing.
  • Optional analytics, advertising and personalisation: to understand store use, measure campaigns and show relevant content or ads, using consent where required. Choosing not to allow optional tracking does not stop you buying from us.

Services and recipients

Shopify hosts the store and supports checkout, order management, customer records, forms, digital delivery and messaging. Payment services handle payments and fraud checks. Printify and the relevant production and delivery partners receive the information needed to fulfil merchandise orders. Other fulfilment integrations installed in the store include Printful, Inkthreadable and Royal Mail Click & Drop; their involvement depends on the service used for an order.

Our connected marketing and customer-management services include Shopify Messaging, Mailchimp and HubSpot. Facebook/Instagram (Meta) and TikTok integrations support advertising and campaign measurement. Depending on the feature and your applicable consent choices, these services can receive contact details, customer preferences, order or interaction events and device identifiers. Not every service is involved in every visit or order.

We may also disclose relevant information to professional advisers, authorised service providers helping administer the store, or authorities where legally required, and where necessary to establish or defend legal claims. Third parties acting for their own purposes have their own privacy notices and responsibilities.

Shopify Network Intelligence

We use Shopify Network Intelligence. Shopify processes information about your interactions with this store together with information from interactions with Shopify and other merchants to provide enhanced services, including personalisation and advertising. Shopify is responsible for processing for these enhanced purposes and for handling associated rights requests. Read the Shopify Consumer Privacy Policy and use Shopify's privacy portal to exercise your rights with Shopify.

Some advertising-related disclosures may be treated as sale, sharing or targeted advertising under applicable US privacy laws. Where these rights apply, you may request an opt-out by contacting us and through the privacy controls available on the store. We do not charge for exercising these rights or discriminate against you for doing so.

Cookies, tracking and embedded media

Essential cookies support functions such as the basket, checkout, security and remembering privacy choices. Optional cookies and similar technologies support analytics, advertising and personalisation. Our Shopify cookie banner offers Accept, Decline and Manage preferences in configured regions, including the UK. You can revisit available Cookie preferences controls to change your choices, or contact us for help. Browser controls can also remove or block cookies, although blocking essential cookies may affect shopping functions. Withdrawing consent does not affect processing that was lawful before withdrawal.

See Shopify's cookie information for the purposes and durations of its cookies. Cookie lifetimes vary by service and purpose; some end with your session and others remain for the period described by the provider or until removed.

Pages may include YouTube videos using its privacy-enhanced player. Loading or using an embedded player can disclose technical information to Google/YouTube; privacy-enhanced mode is not a promise that no information is shared. See Google's privacy policy. External social, streaming and ticket links take you to services governed by their own policies.

Storage and international processing

Our services operate internationally. Shopify reports our store's data hosting location as the United States, and Shopify and other providers may process information in other countries. Overseas processing is subject to applicable transfer requirements. Shopify describes its contractual safeguards, including arrangements for UK and European data, in its Data Processing Addendum. Contact us for information about the safeguards relevant to your information and how to obtain a copy.

How long information is kept

We retain information according to its purpose rather than keeping everything indefinitely. Order and accounting records are kept for applicable tax and record-keeping periods; booking and support records for providing the service and dealing with related claims; and security records for investigating incidents and protecting the store. Marketing records are kept while relevant permission or another lawful basis continues. After an unsubscribe, we may retain a minimal suppression record so that you are not added back to the mailing list. Legal obligations or an active dispute may require particular records to be kept longer. Contact us for the retention criteria applicable to a specific record.

Your rights and complaints

Depending on applicable law and the circumstances, you may request access, correction, deletion, restriction or portability of your information, object to processing based on legitimate interests, and withdraw consent. You may object to direct marketing at any time. We may need to verify your identity before acting and will respond within the applicable legal time limits. Some records must be retained for legal reasons even after a deletion request.

Please contact us first if you have a concern so we can investigate. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint, or your local supervisory authority where applicable.

We update this notice when our practices change. The date above identifies the latest version. Where required, we will give additional notice or request consent for a new purpose.
